Refund, Cancellation & Rescheduling Policy
Effective Date: July 22, 2026
This Refund, Cancellation & Rescheduling Policy explains the general policies of Allen Warren Photography LLC regarding photography services, session fees, retainers, cancellations, rescheduling, digital products, prints, albums, artwork, and other purchases.
Specific terms may vary by service. The signed photography agreement, proposal, invoice, payment page, or written communication provided for a particular booking will control if it differs from this general policy.
1. Inquiries and Consultations
Submitting an inquiry, contact form, consultation request, questionnaire, email, or text message does not create a booking or payment obligation.
A photography service is not reserved until the required booking steps have been completed.
These steps may include:
- Signing the applicable photography agreement
- Accepting a proposal
- Paying the required session fee, retainer, or initial payment
- Completing any other stated booking requirement
2. Session Fees and Retainers
Session fees, retainers, and other booking payments compensate Allen Warren Photography for reserving time, declining other work, preparing for the session or event, performing administrative work, and beginning the client experience.
Unless otherwise stated in writing, session fees and retainers are nonrefundable after the booking is completed.
The amount, due date, and specific treatment of each payment will be stated in the applicable proposal, invoice, payment page, or photography agreement.
3. Client Cancellations
Clients who need to cancel should notify Allen Warren Photography as soon as reasonably possible.
Cancellation terms may vary depending on:
- The type of photography service
- The amount of notice provided
- Work already completed
- Expenses already incurred
- Products already ordered
- The terms of the signed agreement
Payments already made may be nonrefundable as stated in the applicable photography agreement.
Any remaining payment obligation will be determined by the signed agreement and applicable law.
4. Rescheduling by the Client
Allen Warren Photography understands that illness, emergencies, weather, school schedules, family circumstances, and other unexpected events may require rescheduling.
Rescheduling requests will be handled according to availability and the applicable photography agreement.
A rescheduling fee may apply when:
- Insufficient notice is provided
- The client has already rescheduled previously
- Expenses have already been incurred
- A new date requires additional work or costs
- The applicable agreement provides for a fee
A request to reschedule does not guarantee that a preferred replacement date will be available.
5. Weather and Location Conditions
Outdoor sessions may be rescheduled when weather, unsafe conditions, location restrictions, or other circumstances make the session impractical or unsafe.
Allen Warren Photography will make reasonable efforts to communicate weather-related decisions and identify an alternate date.
Clouds, wind, temperature, seasonal appearance, foliage, lighting, or other normal outdoor variations do not automatically require rescheduling.
6. Illness and Emergencies
Clients should notify Allen Warren Photography promptly if the client, a household member, or a session participant is ill or facing an emergency.
Allen Warren Photography may also reschedule when illness, emergency, equipment failure, unsafe conditions, or another circumstance beyond reasonable control prevents the service from being performed safely or professionally.
When Allen Warren Photography initiates the rescheduling, reasonable efforts will be made to provide a replacement date or another appropriate resolution.
7. Cancellation by Allen Warren Photography
Allen Warren Photography may cancel or decline to continue a service when reasonably necessary because of:
- Illness or emergency
- Unsafe conditions
- Harassment, threats, or abusive conduct
- Nonpayment
- Failure to cooperate
- Material misrepresentation
- Venue restrictions
- Illegal activity
- Circumstances beyond reasonable control
The applicable photography agreement will determine whether payments are refunded, credited, retained, or applied to another date.
8. Digital Images and Digital Products
Digital photographs, downloads, galleries, design files, and other electronic products are generally nonreturnable and nonrefundable after delivery, download, access, or release.
Because digital products cannot practically be returned once supplied, clients should review selections, quantities, and order details carefully before approving a purchase.
This does not limit any remedy that may apply if the wrong digital product was delivered or the delivered files are materially defective.
9. Custom Prints, Albums, and Artwork
Albums, prints, wall art, frames, mats, cards, and other photographic products are often created specifically for the client.
Once an order has been approved and submitted to production:
- The order may not be canceled
- Changes may not be possible
- Payments may be nonrefundable
- The product may be considered final sale
Clients are responsible for reviewing image selections, spelling, layout, crop, size, finish, and other order details before final approval.
Normal variations in printing, materials, texture, color, brightness, cropping, manufacturing, and screen display are not necessarily defects.
10. Damaged, Defective, or Incorrect Products
Clients should inspect physical products promptly after delivery.
A damaged, defective, or incorrect product should be reported to Allen Warren Photography within seven calendar days of delivery.
The client may be asked to provide:
- Photographs of the damage or defect
- The original packaging
- Shipping information
- A description of the problem
- The affected product
When a claim is verified, Allen Warren Photography may arrange an appropriate remedy, which may include repair, replacement, reprinting, credit, or refund.
Clients should not discard or return a product without instructions from Allen Warren Photography.
11. Shipping and Delivery
Shipping and delivery estimates are not guarantees.
Delays may occur because of:
- Product laboratories
- Carriers
- Weather
- Supply issues
- Customs
- Incorrect delivery information
- Circumstances outside Allen Warren Photography’s control
Clients are responsible for providing accurate delivery information.
Additional charges may apply when a shipment must be redirected, replaced, or reshipped because of an incorrect address or failure to receive the delivery.
Federal rules may require refunds in certain situations involving merchandise that cannot be shipped as promised, so product orders should always be handled according to the actual circumstances and applicable law.
12. Approved Refunds
When Allen Warren Photography approves a refund, it will generally be issued through the original payment method when reasonably practical.
Processing time may depend on:
- The payment provider
- The client’s bank
- The credit-card issuer
- The original payment method
Bank or card processing delays are outside Allen Warren Photography’s control.
13. Credits and Transfers
When permitted, Allen Warren Photography may offer a credit instead of a refund.
Credits:
- May have an expiration date
- May be limited to the original client
- May not be transferable
- May apply only to certain services or products
- May be subject to the applicable signed agreement
A credit is not guaranteed unless provided in writing.
14. Chargebacks and Payment Disputes
Clients are encouraged to contact Allen Warren Photography directly before initiating a chargeback or payment dispute.
Many concerns can be resolved by reviewing:
- The signed agreement
- The invoice
- Payment records
- Delivery records
- Gallery records
- Written communication
- Product-order documentation
Allen Warren Photography reserves the right to provide relevant records to a payment processor, bank, card issuer, insurer, attorney, or other authorized party when responding to a payment dispute.
15. Signed Agreements Control
This page provides general information.
The signed photography agreement, proposal, invoice, payment page, or written policy provided for a particular service will control when it contains more specific or different terms.
Nothing on this page changes a previously signed agreement.
16. Changes to This Policy
Allen Warren Photography may update this policy when services, products, business practices, technology, or legal obligations change.
The updated policy will be posted on this page with a revised effective date.
